The BioCert® TimeSafe™ System consists of three parts, (1) a Front-end Time and Attendance Device, (2) Back-end Management Software and (3) a Networked PC Management Station (with Monitor, Mouse and Keyboard).
The front-end is a standalone biometric fingerprint reader (BioCert Time & Attendance) and the back-end is the BioCert TimeSafe Software program which is pre-installed and pre-configured by our expert team on a Dell PC which is specifically designed for this purpose.
The BioCert TimeSafe System is simple, elegant and user friendly - We will even configure your BioCert TimeSafe System with you on the telephone before your system ships - and then once the system arrives we also include 1 hour of telephone training to help get you up and running. This training support includes helping you set up the shifts/employees, times, administrative settings, and general overview of the software. You can, if you wish, connect your TimeSafe Management Station to your network or use it as a stand-alone solution. Additional TimeSafe fingerprint readers can be installed at other locations on your network and communicate with the management station.

10 minutes per day x 25 employees x 5 Days x 52 Weeks @ $10.00 per hour = $10,833.00 of wasted payroll expense. In the example above we assumed that employees were "over reporting" only 10 minutes a day of non-productive time on their timecards. We did not include other errors or fraud such as "buddy punching", manual calculation errors, rounding errors, or other mistakes.
Guess what ??? ---- Under Federal Law - that 10 Minutes becomes 15 or 30 MINUTES for which you have to pay the employee. That's right - FREE Bonuses for everyone (except you) courtesy of Uncle Sam!
State and Federal Laws require that you must round Non-Exempt employee's time using the 7/8 minute rule. If a non-exempt employee clocks in-or-out more than 7 minutes before or after each 15 minute hourly segment you must round UP or down to the next 15 minute segment.
Example - Jeff and Suzy: Jeff and Suzy both have the 8:00AM to 5:00PM shift at the local Fuzzy's Fast Food joint. They both have the same shift, the same responsibilities, the same pay, but Jeff works the system and makes $37 more per week than Suzy.
Here's how:
Jeff clocks IN for the day at 7:52 and Suzy clocks IN at 7:53. Jeff would get paid an extra 15 minutes more than Suzy under these rules. Likewise, if - Suzy clocks out at 5:07 and Jeff clocks out at 5:08, Jeff would also get an extra 15 minutes more than Suzy on his paycheck. 30 minutes of extra dough just for waiting 2 minutes.
Jeff's just not being a jerk; he knows how to "work the system" and will use it to his advantage. Under Federal Law Jeff is legally allowed to put an extra $5 ($7.50 for overtime) in his pocket each and every time he clocks in and out this way. If he simply takes a little longer to change into his "street clothes", wash his hands, put away the mop, or just slowly walk to the time clock while he chats with his coworkers - he can affect a positive change in his paycheck and a seriously negative change to your bottom line.
The BioCert TimeSafe System will generate an exception report showing this type of behavior so supervisors or managers can quickly address Jeff's lousy attitude and theft of resources. Mess around on your own time Jeff - and not on my dime! (No actual Jeff's were harmed in this example and apologies to the many great Jeff's of the world).
Restrictions on Rounding
Federal law imposes important restrictions on how you can round employee time. In general, rounding is allowed only as long as the following criteria are met:
1. The rounding must work both ways, both in the employer's favor and the employee's favor. You can't decide to only round when it works out to your benefit. 2. You cannot round in increments greater than 15 minutes. So if your employees are clocking in more than 15 minutes ahead of their scheduled start, you can only “round away” a maximum of 15 minutes of the coffee-and-chat time. You'll still have to pay them for the rest. 3. The rounding must be applied in such a way as the employee is still fully paid for all hours actually worked. If your employees are clocking in 10 minutes before their scheduled start time and actually starting work early, you cannot “round away” that work time, even though it occurred prior to the scheduled shift start time.
You should also check with an employment lawyer to see if your state has additional regulations regarding rounding. Remember, when there is a difference in Federal and state law, the one that “rules” is the one that's best for the employee.
What If Rounding Isn't Enough?
If you have a significant problem with employees clocking in or out at times other than their scheduled start and stop times, what you may need to upgrade to the BioCert TimeSafe Enterprise, which offers a lockout feature. This is a setting that prevents employees from punching in more than a set number of minutes before or after scheduled shift change times. Employees can continue to arrive early for coffee and conversation, but they can't put themselves on the clock until it's time to start working.

Question - "Why can't I just install the software on one of my network PCs?"
Answer - Technically you could if we sold it that way, but then you would have to configure the software (which we include), install the supporting software service packs from Microsoft, make sure you have enough system resources to run the software AND make sure you don't have any software on your PC that conflicts with the software (games, etc.). We find that just by including a management console with the product we increase customer satisfaction and lower support headaches.
